Who we are

Northgate Property Maintenance Ltd ("Northgate", "we", "us") provides cleaning, repair and decorating services for vacant and end of tenancy properties across Greater Manchester. Northgate Property Maintenance Ltd is a company registered in England and Wales, company number 17323693, registered office Apartment 319, 11 Flint Building, Stanley Street, Salford, United Kingdom, M3 5GH.

Northgate is the data controller for the personal information described in this policy. This policy explains what we collect, why, how long we keep it, and the choices you have.

How you can get in touch, and how a booking is confirmed

You can contact us through this website, WhatsApp, email or phone to discuss a job, send photos or videos, and receive an indicative quotation. Wherever a conversation starts, the formal booking is always confirmed through a secure Northgate booking confirmation page on this website — see "Booking confirmation" below. If you choose to message us on WhatsApp, that conversation happens on WhatsApp's own platform under WhatsApp's own terms; we don't use any WhatsApp business messaging SDK or automated integration on this website itself.

What we collect

  • Contact details submitted with a quote request, contact message or booking (full name, email address, mobile number)
  • Property details relevant to a quote or booking (address, postcode, property type, number of bedrooms)
  • Details of the work requested and any preferred or scheduled dates
  • Access instructions, including key safe codes or access arrangements, where you choose to provide them
  • Photos or videos of the property you choose to upload with a quote request
  • Any quote amount, agreed scope and message an admin sends back to you regarding your enquiry or booking
  • If you complete a booking confirmation: whether you're booking as a consumer or a business, the date and time you accepted the booking, which version of our Terms you accepted, and — where relevant — your express request and acknowledgement for work to begin within the 14-day consumer cancellation period
  • Your IP address, recorded briefly when you submit the quote or contact form — used only to detect and prevent automated spam submissions, not for advertising or tracking. It is automatically deleted after 24 hours.

We only collect what's needed to quote for and deliver the work. We don't ask for payment card details through this website, and we don't collect any information from you beyond what you submit through the quote request, contact form, or booking confirmation page.

Booking confirmation

Once a quotation is agreed, we send you a unique, hard-to-guess link to a secure booking confirmation page. That page shows the booking details tied to your specific link only — it does not reveal any other customer's booking. Once you've confirmed, the link cannot be used again to submit a second acceptance.

Why we use it, and our legal basis

  • To provide a quote, prepare a booking, and deliver the work — necessary to take steps at your request before entering a contract, and to perform that contract once agreed.
  • To communicate with you about your enquiry, booking, access arrangements or invoice — same basis as above.
  • To keep accounting and job records — necessary to comply with our legal obligations (see retention, below).
  • To feature real examples of completed work (e.g. before/after photos on our Our Work page) — only where you've separately agreed to it.

We never use your information for automated decision-making, and we don't sell personal data to anyone.

Photos and videos of your property

Photos or videos you upload with a quote request are used only to help us assess the job and provide an accurate quote. Where technically practical, embedded location and other metadata (such as GPS data) is removed from photographs before permanent storage. They are stored privately and are never displayed publicly.

Separately, some of the before-and-after photos shown on our Our Work page are from real completed jobs — these are only ever used with the customer's specific agreement, asked for directly at the time. If we'd like to use photos from your job publicly, we'll ask you first, and you're free to say no with no effect on your booking.

Who we share it with

We use a small number of service providers to run this website and deliver our service. They process personal data on our behalf, under their own data processing agreements, and are not permitted to use it for their own purposes:

  • Supabase — hosts our database and securely stores any photos/videos you upload.
  • Resend — sends the email notifications and booking confirmations generated by this website.
  • Vercel — hosts this website.
  • Microsoft 365 / Outlook — our business email runs through Microsoft 365. If we correspond with you directly by email (for example, discussing a quote before a booking is prepared), that correspondence is handled through Outlook.

If your job requires a member of staff to attend without a Northgate director present, relevant details (such as your name, address and access instructions) may be shared with that staff member — verbally, in writing, or by message — solely so they can carry out the job. In practice, a director is present at the vast majority of jobs.

We do not sell, rent or otherwise share your personal data with any other third party, and we don't use it for marketing by any other business.

Where your data is processed

Supabase, Resend and Vercel are all companies with operations outside the UK. Where personal data is processed outside the UK, these providers operate under data processing terms that include appropriate legal safeguards (such as the UK International Data Transfer Addendum or equivalent Standard Contractual Clauses). We'll update this section if that changes.

How long we keep it

We keep different types of record for different periods, matched to why we hold them:

  • General contact form messages — automatically deleted 12 months after submission, unless they become relevant to an active job, complaint, legal matter, or another legitimate reason to keep them for longer.
  • Quote requests that don't become a booking (status new, quoted, or rejected) — automatically deleted 12 months after the most recent relevant activity on the enquiry, not necessarily from the original submission date if we've been in ongoing contact. Any photos or videos attached are deleted at the same time.
  • Booked, completed or cancelled jobs — retained for around 6 years where legitimately required for contractual, business, accounting or legal purposes. Formal accounting and tax records themselves are handled according to our separate accounting processes, not solely through this website's database.
  • Anti-spam IP address logs — deleted after 24 hours.

You can ask us to delete your data sooner — see "Your rights" below — and we'll do so unless we're required to keep it (for example, for tax records relating to a completed job).

Your rights

Under UK GDPR, you have the right to:

  • Ask what personal data we hold about you, and get a copy of it
  • Ask us to correct inaccurate data
  • Ask us to delete your data, subject to any legal reason we may need to keep it
  • Object to, or ask us to restrict, certain uses of your data
  • Ask for your data in a portable format, where applicable
  • Withdraw consent, where our processing relies on consent

If you're not satisfied with how we've handled your data, you have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).

Cookies and browser storage

This website uses cookies and similar storage technologies (such as browser local storage), described in full in our Cookie Policy. We currently do not use any analytics or advertising tracking technology.

Keeping your data secure

Quote, message and booking data is stored in a private database with no public access — it can only be read by Northgate, using access controls enforced at the database level. Uploaded photos and videos are stored in a private file store, never made public. Access instructions and key-safe details are treated as sensitive and only shared with the staff attending your job.

Children

This website and our services are intended for adults arranging property work. We don't knowingly collect data from children.

Changes to this policy

We may update this policy from time to time, for example as our tools or services change. The "last updated" date at the top of this page will always reflect the current version.
